Salary: SP 30             Actual:  £27,414.14

JOB PURPOSE

To assist in making sure that Camphill Wakefield meets the high standards of education, training and care within its own set of ideals and principles as well as meeting the expectations and guidelines of the placing authorities and inspectorates.

KEY RESPONSIBILITIES:

 

MAIN

 

Serve as the point person for office manager duties including:

To work with the VP Care and Business to ensure the best candidates are recruited at the right time, in the most cost efficient way. To assist with the office based administration and delegation of workload.

  • Scheduling, coordinating and planning meetings, minute taking
  • Oversee/delegate the order of stationery and equipment
  • Maintain the office condition and arrange necessary repairs
  • Coordinate with IT department on office equipment and systems
  • Provide general support to visitors/new staff induction
  • Assist in the Induction process for new staff
  • Provide a point of contact for staff in relation to HR Matters
  • Assist with the day to day operations of HR
  • Support VP Care & Business Manager with Grievance and disciplinary matters in line with Policies and Procedures
  • Maintain and oversee DBS staff/ volunteer status
  • Liaise with other managers regarding general administration duties and delegate accordingly
  • Plan in-house or off-site activities, Training, celebrations and conferences
  • Set process up with volunteers, encouraging and supporting where necessary
  • Manage and oversee short term volunteer placements/ work experience
  • Assist with office administration of Training Courses
  • Absence Management Recording
  • Maintain data collection systems and staff data
  • Manage staff absences and cover

Staff /Co-worker and volunteer recruitment

  • To provide full administrative support for the recruitment and selection of staff, including advertising, responding to applications, scheduling interviews
  • To develop and maintain the use of social media to promote College jobs.
  • When required escort/guide interested potential staff around the site
  • Support the process of setting up staff documentation and induction
  • Understand fully the Data Protection Act

You will give detailed focus to the following tasks:

  • Answer new initial enquiries
  • Check references
  • Carry out phone interviews when necessary
  • Arrange for initial visit when appropriate
  • Office Administration of the application process
  • Ensure minimum legal requirements are met and all paperwork and checks are in place or have been completed before co-worker arrival
  • Keep the applications (email or postal) up to date and ensure that correspondence are swift and prompt
  • File applications
  • Maintain continuous contact with and report progress to the HR Manager
  • Office Administration of Induction training
  • Office administration of the review process and regular supervision for all short term co-workers

Volunteers/WWOOF/Work experience co-ordination

  • Assist in processing applications
  • Support the process of setting up volunteers/ work experience students

You will give detailed focus to the following tasks:

  • Answer new initial enquiries
  • Arrange for initial visit when appropriate
  • Ensure that a formal application is made with necessary paperwork and checks
  • Assist in ensuring that all volunteers have a single point of contact and are aware of policies and procedures
  • Contact referees where necessary
  • File Applications
  • Liaising closely with the VP Care and Business to agree and plan the key stages of recruitment and applications.
  • Drafting advertisements, mailing application packs
  • Providing assistance to the VP Care and Business where appropriate to ensure enquiries and applications are appropriately and efficiently handled.
  • Providing assistance and support to the VP Care and Business where appropriate, ensuring all pre-appointment enquiries (usually references, health and character checks) are carried out in good time and further investigated where necessary.
  • Effective and timely communication with applicants
  • Workings closely with the VP Care and Business to ensure that website based advertisements are updated regularly.
  • Ensure all staff data; both manual and computer based are up to date ( Sage/ Databridge/ CPOMs)
  • Assist in preparing the recruitment summary on a weekly basis.
  • As and when needed help with reception cover
