Job Description – Administrator

Responsible to: Principal

Responsible for: N/A

Salary: SP 18             Amount: £16834.35

Hours: 35 hours / 43 weeks (Full time considered)

(term time only + 5 days)


Making sure that Camphill Wakefield meets the high standards of education, training and care within its own set of ideals and principles as well as meeting the expectations and guidelines of the placing authorities and inspectorates.


  1. To provide a professional and efficient support in all aspects of admin to the Principal, including data handling, diary management telephone and email enquiries
  2. Attend meetings and taking accurate minutes for sensitive HR and complex meetings such as multi-agency and EHCP review meetings
  3. Taking minutes at weekly SLT meetings, collating and circulating meeting reports, including notes and actions and distribution
  4. Taking minutes direct to laptop to high standard and distribute.
  5. Providing administrative and word processing providing support to the SLT when required
  6. Devising and maintaining office systems including data management and filing.
  7. Assisting with data entry and retrieval, and basic presentation when necessary, monitoring and printing reports from computerised systems
  8. Managing electronic diaries, including arranging and changing appointments, prioritising these as appropriate
  9. Undertaking administrative duties such as photocopying, faxing and mail-out distributions
  10. General administrative duties to support the college.
  11. Use information systems to prepare reports.
  12. Provide administrative support to others as directed.
  13. Participate in the development of future information systems.
  14. Comply with Camphill Wakefield’s policies and procedures at all times


  • Answer telephone, screen and direct calls

  • Greet persons entering organisation
  • Direct persons to correct destination
  • Deal with queries from the public
  • General administrative and clerical support
  • Prepare letters and documents
  • Receive and sort mail and deliveries
  • Schedule appointments
  • Maintain appointment diary either manually or electronically
  • Organise meetings
  • Tidy and maintain the reception area
  • Balancing Petty cash/ float
